A useful treatment handoff for facilities teams

Give maintenance staff a clear record of the completed areas, exclusions and changes that matter to future property care.

Begin the handoff before the work starts

Ask what completion information is included when reviewing the proposal. The facilities team should know which areas are planned, who approves changes and where the finished record will be stored. This makes the handoff part of the project rather than a search for details after the application crew has left.

Use the site’s familiar location names

Connect the work to area names or asset-location references the team already understands. A map and clear descriptions help distinguish included vegetation from excluded surfaces or restricted spaces. If several sites are involved, keep the address and application date attached to each record. Avoid a combined statement that makes it appear every location received the same work.

Record changes without losing the original scope

Keep the approved proposal alongside the completed-work information and relevant revisions. A changed boundary or excluded area should be understandable to a staff member who was not present. Photographs, where included in the project, need enough context to identify the location. An image alone is not proof of application performance or future fire resistance.

Connect the record to routine grounds care

Share relevant information with the people handling mowing, pruning, irrigation and construction coordination. Significant changes affecting treated vegetation can be noted for follow-up. Do not assume the old record covers a new planting bed or an expanded facility area. A named contact helps staff raise those questions without relying on memory of the original visit.

Distinguish completed work from future commitments

Identify any agreed follow-up separately from optional or unapproved services. The record does not automatically create an ongoing monitoring contract, a fixed reapplication interval or a guarantee of business continuity. WTG can discuss a later review using the site’s actual history. Keeping the information accessible gives the next facilities manager a reliable starting point.
